Welcome to Owens Counseling & Therapy! Here you will find your simple, stress-free guide to getting started with our services. Here, you’ll find everything you need to begin your journey, from initial point of contact and onboarding steps to required documents and next steps. We’ve designed this process to be clear, efficient, and tailored to your needs, so you know exactly what to expect at every stage. Whether you’re a first-time client or transitioning from another provider, our step-by-step approach ensures a smooth and confident start!

You are welcome to complete it before or after you connect with our admin team, though we do encourage you to complete it early, so it saves you time with setting up an appointment!

What to Expect When You Contact Us
New Client Procedure
We’re so happy you are here! Welcome!
To help make the process smooth and clear, here’s what you can expect when you reach out:
- Initial Call or Email
When you call or email our administrative team, they will ask for the following information:
- Full name
- Email address
- Phone number
- Preferred location
- Insurance information (to verify in-network eligibility, if using insurance)
- Preferred appointment date and time (Admin will then offer what is available)
- 24-Hour Appointment Hold
We will place a temporary 24-hour hold on the requested appointment time.
- This hold secures the time for you while you complete your intake paperwork.
- Please note: A hold is not a confirmed or guaranteed appointment.
- Due to consent, client information, method of payment, & other important information/documents being required before an appointment, no appointment will be officially scheduled until all of the information is received.
- This then allows you to focus on preparing for your appointment and not have stress about any paperwork completion, as it will already be done! This helps our admin team make sure everything is correct ahead of time, as well.
- The hold will expire 24 hours after it is placed if paperwork is not received.
- Since in this case no appointment was officially scheduled, there will be no notification of a cancelled appointment or lack of paperwork.
- Intake Paperwork
You will receive:
- A fillable intake packet via email
- A request for a copy of the front and back your photo ID and insurance card (if using insurance)
The clinician will be copied in the email who you have a hold appointment with and are working to schedule with.
All paperwork must be submitted within 24 hours to secure your appointment time.
- Appointment Confirmation
Once all completed forms, ID, and insurance information are received:
- Your appointment will be officially scheduled.
- You will receive a confirmation email with the finalized appointment details.
- Your clinician’s contact information will be included.
- If Paperwork Is Not Received
If your paperwork is not submitted and received within 24 hours:
- The temporary hold will expire.
- The appointment time will be released and made available to others.
If you submit your paperwork after the 24-hour window, you can still schedule an appointment, but it may not be available for the originally requested day and time.
